Questions to answer before a Jaffna pilot is quoted
A short discovery review keeps the project narrow enough to test and makes hidden translation, data, and staff work visible before implementation.
- Which single enquiry queue is causing friction?
- Choose one website, WhatsApp, voice, or internal intake journey. List where messages arrive now, what staff repeat, and where a customer is currently left waiting or confused.
- What is the approved source of truth?
- Identify the current service sheet, policy, timetable, price source, booking system, or owner. If the information is not maintained, the safe first step is content governance rather than automation.
- What may the workflow collect and retain?
- Define the minimum fields, retention owner, access boundary, and prohibited information. A public assistant should never request account passwords, recovery codes, card details, or unnecessary private records.
- Who takes over, and how quickly can they respond?
- Name the role that receives unresolved enquiries and decide whether the transfer is a phone call, a reviewed WhatsApp message, an email, or a connected task. Automation cannot repair an unowned inbox.
- Which language paths will be accepted at launch?
- Select English, Tamil, or Sinhala only where approved content and a suitable reviewer are available. Chat, website, WhatsApp, and voice are separate tests; passing one channel does not prove the others.
